Mission:         The mission of the Community Events Sign is to provide an avenue of communication for local non-profit organizations, civic groups, and churches, whose events further benefit our community and its’ residents.

 Purpose:        The purpose of the Community Events Sign Policy and Procedure is to provide clarification to help ensure fairness and timeliness for any organization wishing to use this service. 

 Scope:          The scope of the Community Events Sign Policy and Procedure is to provide rules and guidelines pertaining to the usage of the sign.  The scope will include:

·        Definition of types of organizations

·        Queuing Rules

·        Types of Events

·        Governing Body

·        Request Process

·        Physical maintenance of sign, including display changes

     Definitions:     The following definitions are provided for clarification and are meant to be used as such within the context of this document.

·    Events – an infrequent activity taking place on a specific day, at a specific time, and place.  Examples include but are not limited to:  local fundraising events, church events, local and county fairs, etc.

·     Non-profit organizations, civic groups and churches – examples include but are not limited to:  local and community fair boards, Rotary Clubs, Boy Scouts, Girl Scouts, 4-H, community foundations, any local community church, local school organizations, etc.

·      Queuing Rules – rules applied when establishing priority ranking

·      Community – local Roscommon/Higgins Lake area

Responsibility:           The following are the roles and responsibilities relating to the Community Events Sign.

·        Community Events Sign Committee:

o      Establishes and maintains the Community Events Sign Policy and Procedures

o      Acts as governing body should any issues or disputes arise concerning the determination of an applicable event, organization or queuing rank.

·        Gerrish Township Personnel:

o       General routine physical maintenance of sign

o       Changing of the message display as schedule dictates

o       Approval and scheduling of messages

 Procedures:    The following procedures shall be used when any non-profit organization, civic group or church requests to use the Community Events Sign:

·        The Community Events Sign Request Form must be filled out and returned to the Gerrish Township Building during regular business hours.  The request forms are available at the Gerrish Township Municipal Building or as a .PDF file on the Gerrish Township website at the bottom of this page.

·        Requests must be returned in person or by mail

·        Requests shall be taken no more than 60 days in advance

·        Queuing Rules:

o       All requests granted are on a first-come, first-service basis

o       Duration: (the reserved time an organizations message will be displayed)

ό      Primary Dates Max:  14 days

ό      Additional Dates:  14 days  (Please note:  Additional dates are not guaranteed – will be used if time is available)

·    Local community events takes precedence over outside community events

·      Any available sign time (not reserved as primary or additional dates by any organization) will be used to display safety slogans determined by the local fire and police department

·     In the event of a public safety emergency, Gerrish Township Police or Fire Departments will take control of the sign.
